Free medical billing audit Every unpaid claim over 90 days, sorted by the date it expires.

A claim-by-claim list of every unpaid insurance claim over 90 days in the aging report you send: payer, amount, the deadline it faces, the denial reason and the next action, sorted by deadline. It is a deadline triage of unpaid claims, not a coding or payment-accuracy audit.

What you get

The map, column by column

Each row is one unpaid insurance claim from the aging report you send, sorted by the deadline it faces first.

The map’s columns and what each one tells you. Your map has one row per claim; nothing here is client data.

Example rows: three fictional claims, not client data or results. Each “days left” assumes the limit shown; your map uses the limit we find for each of your claims, and your contract can set a different one.

What we need

Two things from you

Nothing else is needed to start the map.

A claim-level aging export

Your accounts receivable aging report exported one row per claim, not the payer summary, from your practice-management system or clearinghouse. Export every open insurance claim; the map picks out the aged ones.

A signed business associate agreement

The export holds protected health information, so HIPAA requires a business associate agreement before we receive it (HHS sample provisions). We send ours after your request.

The 5 business days start when we have your claim-level aging export and a signed BAA. The map is yours to keep whether or not you hire us, and if your A/R doesn't need outside help, the map says so. We use your aging export only to build your map and need no login to your systems for it. We delete the export 30 days after we deliver the map unless you sign a service agreement, and sooner if you ask by email.

How it works

Three steps, no sales call

The map comes by email. A walkthrough call is offered with it and is optional.

  1. 01

    Request the map

On the request form, keep “The Free A/R Deadline Map” selected and add your practice and clinician count. No patient details.

  2. 02

Sign the BAA, send the export

We send the business associate agreement. Once it is signed, you send the claim-level aging export.

  3. 03

    Get the map by email

It arrives within 5 business days of the export and the signed BAA.

Why deadlines

Sorted by deadline, not by dollar amount

A large claim with months left can wait; a small one that expires this week cannot. The claims closest to expiring sit at the top.

Claims over 90 days get closer to their filing limits every week. Medicare allows 1 calendar year after the date of service; Cigna lists 90 days for participating providers. Limits vary by contract and state.

After the map

Work it yourself, or hand it to us

The map is yours either way. Each row already names its next action.

Work it in-house

Your team takes the list from the top. When a row needs an appeal, the guide to reducing claim denials shows which denials can still be appealed, and by when.

Hand it to us

A/R Recovery. For inherited claims 90+ days past the date of service: 15% of the insurance payments that post after we work them, and $0 on claims that never pay. Fee only on insurance payments posting after our logged action; patient payments 0%; full-service clients stay under the 9.0% fee cap.

Deadline Claims at Your Plan Rate. Inherited claims within 30 days of a deadline when you start are worked at your plan rate, not the 15% A/R Recovery rate. See pricing and terms.

Common questions

Is the A/R Deadline Map really free?
Yes. It is yours to keep whether or not you hire us, and all it needs is your claim-level aging export and a signed BAA. If your A/R doesn't need outside help, the map says so.
Why do you need a signed BAA for a free audit?
Your aging export holds protected health information. A billing company that receives it on your behalf is a business associate, so HIPAA requires a business associate agreement first (HHS sample provisions). We send ours after your request.
What if our A/R doesn't need outside help?
Then the map says so, and it is still yours to keep. Your team can work it from the next-action column.
Do we have to take a sales call?
No. The map arrives by email; a walkthrough call is offered with it and is optional.
How is this different from a full billing audit?
The map covers the unpaid insurance claims in your aging report and the deadlines they face. Medical billing audit services review coding and payment accuracy across claims, including paid ones. To check your billing yourself first, use our billing audit checklist.
What if many practices ask in the same week?
Clock starts with your claim-level aging export and signed BAA; above 10 requests in a week, we confirm your date within 1 business day.
